Efficient Heads-Up Production Indexing

eCIP facilitates indexing of documents sent to the eCabinet by any of the eCabinet's supported document sources, including Network Scanner, E-Mail, Fax, PC Capture, Paperless Printer.  Unlike front-end systems, eCIP leverages the strengths of the eCabinet.

Documents are easily indexed using eCIP's split screen document/index view and moved to the appropriate folder and index key search values are quickly entered.  Index from any PC or thin client on the LAN, WAN, Internet!

eCIP's "Sticky Data" option allows select fields to remain populated with on-screen data as new items are viewed and indexed.  No need to retype identical information for each document's data

"Mass Update" allows selection of multiple documents to update with common data without the need to view and index each one individually.

 

Typical Indexing Scenario:

·        Documents are scanned or sent to the eCabinet by traditional means — Scan, e-Mail, Fax, PC Capture, Print, specifying a ‘pending’ folder as their destination on the eCabinet. Multiple ‘pending’ folders are supported, allowing secure segregation by function, user, department, etc.

·        eCIP is executed on any PC from which the eCabinet is accessible – via LAN, WAN, Thin Client, internet

·        eCIP supplements eCabinet security, prompting the user for credentials.

·        The user browses to the ‘pending’ folder on the eCabinet

·        The items in the pending folder are displayed one-at-a-time in a pane of a split-window display.

·        The user views the item and browses to the destination folder to which the item will be moved. 

·        Custom Fields associated with the destination folder are displayed to allow input.  The Notes and Document Summary fields are available for input as well.

Effective Viewing

eCIP may be used in place of the browser interface as a viewer accessing the eCabinet. eCIP presents query results, images, and index fields on a single screen (with sizable panes).  Notes, summary info, and document title are a located on another tab, just a click away.  eCIP queries leverage and extend eCabinet's query functionality.  eCIP views CAD/CAM .dwg files in a fraction of the time of a browser!

 

Secure Viewing

Our User Name Translation Table (UNT) allows you to lock users out of accessing the eCabinet from their browsers.  UNT also supports assigning custom rights to users, supplementing the eCabinet's security.  These added features enable strict HIPAA enforcement.

 

HIPAA Compliance

Our Document Tracking and Audit (DTA) add-on module, combined with the security enforced by the UNT, assists in overall HIPAA Compliance.  Adhering to HIPAA regulatory requirements, all user activity is audited and logged.  DTA tracks who and when documents are opened, closed, moved (if the user has the rights), deleted (if the user has the rights), and changes to any of the Custom Fields (index info), or any of the document's properties.  DTA keeps 'before' and 'after' values of any changed data as part of its comprehensive auditing.
